Freelance Event Coordinator

We are seeking an experienced freelance Event Coordinator, based in Germany, to support the planning and execution of a major trade show taking place in late June in Munich Germany. This is a hands-on, fast-paced role ideal for someone with strong event logistics experience, particularly in trade shows and exhibitions. The coordinator will support pre-event planning, vendor coordination, logistics management, and be on-site during the event to ensure smooth execution.

Key Responsibilities
• Support event lead with end-to-end coordination and execution of the trade show
• Assist with pre-event logistics including coordination with demo partners, transportation company, and vendor communication
• Coordinate booth setup and breakdown, including liaising with the venue, exhibit builder, and partners
• Collaborate with marketing, sales, and external partners to ensure readiness
• Provide on-site event support in Munich, Germany (June 24–27), acting as a go-to resource for all coordination needs
• Support lead capture processes and manage lead handoff post-event
• Help coordinate staffing schedules and team communications for the event

Qualifications
• Proven experience coordinating large, international tradeshows (2+ years preferred)
• Based in Germany and fluent in German (required)
• Strong organizational and multitasking skills; able to manage multiple priorities
• Excellent communication skills in English; fluency in German is essential for local coordination
• Comfortable working with international teams and in a hybrid environment
• Must be available to travel and work on-site during event dates
• Experience with vendors and exhibit builders is highly desirable

Location: Remote and on-site in Munich during event
Scope: May 20 hours a week. June fulltime.
Timing:  Project start May 2025 until end if June  2026
